Project Overview and Role

The Feed the Future Kenya Investment Mechanism (KIM) Program is a five-year project that will unlock financing and investment by addressing two principal market failures that have discouraged investors from financing certain segments of the clean energy and agriculture sectors: 1) insufficient quality consulting services (financial, transaction advisory, strategy and business performance), and 2) limited availability of financial products tailored to agriculture and clean energy.

To address these failures, KIM will create a sustainable, market-based ecosystem for finance and investment through mobilizing capital into the horticulture, dairy, livestock, and clean energy value chains (VCs), and facilitating an enabling environmentconducive to investment. This program will mobilize private capital into target VCs through innovative smart incentives and building partnerships with key actors that can deliver access to market, know-how, and technology to drive VC competitiveness. Concurrently, KIM will lead policy reform efforts focused on removing barriers inhibiting large-scale investment into the target sectors, therefore unlocking further finance. The two objectives of KIM will result in the project serving as an investment platform that mobilizes substantial capital from the public and private sectors and builds partnerships between stakeholders in the financial ecosystem, ultimately contributing to USAID’s overall goal of fostering broad-based, sustained, and inclusive economic growth in Kenya.

The Office Administrative Assistant is responsible for overseeing and facilitating office operations and provide administrative support to KIM staff to ensure efficient and timely office functions.

Responsibilities

  • General Duties
    • Manage the office telephone line and front door to provide and/or oversee telephone and fax communication for all staff
    • Manage office facilities, ensuring that materials are well-stocked and serviceable
    • Coordinate repairs to office facilities according to terms of lease and in coordination with Director of Finance and Administration (DFA).
    • Receive clients and visitors, assist and resolve problems and inquiries of visitors
    • Coordinate driver allocation for staff activities
    • Make reservations, appointments and other logistical arrangements for staff travel within Kenya
    • Assist in preparation of project presentations and reports as required by the technical team
    • Provide back-up assistance in photocopying and document reproduction
    • Assist in planning and coordinating regional and international travel logistics for project staff and consultants
    • Accept, send, log and sort all packages and physical mail delivered to the KIM office
    • Arrange and participate in conferences, training sessions and meetings
    • Other tasks as requested by the DFA and Chief of Party (COP)
  • Other Duties
    • Performs general janitorial duties in the KIM office
    • Clean offices and general work area; this includes dusting all furniture, woodwork and artwork, as well as cleaning windows and floors and emptying trash
    • Clean washrooms/toilets and ensuring necessities are replenished
    • Manage office facilities, ensuring that materials are well-stocked and serviceable
    • Water plants
Requirements

  • Minimum two (2) years of experience in administrative and/or operational management, preferably with an international organization.
  • Bachelor’s degree preferred.
  • Strong ability to pay attention to detail and follow instructions.
  • Exceptional computer skills in MS office programs.
  • Excellent English writing skills and speaking ability.
