PRIMARY PURPOSE:

  • Completes a broad variety of administrative tasks for the CCO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CCO, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the CCO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the CCO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense for the issues taking place in the environment and keeping the CCO updated.
  • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings.
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CCO, some of which may have organizational impact.
  • Preparing presentations and reports for CCO’s meetings and financial analysis including analyzing results; monitoring variances; identifying trends; recommending actions to management.
  • Organization and planning of logistical arrangements for customer seminars and visits, customer and senior management lunches and dinners, an organization of all Client cocktails and in-house Town Hall Meetings.
  • Other duties as may be assigned by the supervisor

  • Performing technical, specialized, complex and difficult office administrative work requiring the use of independent judgment;
  • Interpreting and implementing policies, procedures and computer applications related to the department or organizational unit to which assigned;
  • Analyzing and resolving office administrative and procedural problems; Performing basic research and preparing reports and recommendations;
  • Overseeing projects or programs and/or supervising, monitoring and evaluating the work of staff;
  • Organizing own work, coordinating projects, setting priorities, meeting deadlines and following up on assignments with a minimum of direction;
  • Using initiative and independent judgment within established policy and procedural guidelines;
  • Providing complex office administrative support in the areas of procurement, budgeting, report preparation, and staff communication; and
  • Communicating exceptionally with co-workers, subordinates, superiors, the general public, representatives of public and private organizations and others sufficient to exchange or convey information.

BUSINESS RELATIONSHIPS:

Internal and External:

  • The CCO depends on administrative assistance to enable him perform his duties efficiently.
  • CCOs from Uganda, Tanzania and Zambia, Department Heads and Relationship Managers and MANCOM – Appointments to meet with the CCO or to arrange appointments for the CCO to meet with various clients. Signoffs from the CCO.
  • Regulators (Central Bank, Capital Markets Authority, KRA) – Ensuring they are able to access the CCO and schedule any meetings required with the CCO.

EDUCATION:

  • University Degree

EXPERIENCE:

  • Minimum Five years banking experience in bank operations and customer-facing roles.
